Bilingual Administrative Assistant

OVERVIEW

We are seeking a motivated, organized individual to join our growing tax office as a part-time Administrative Assistant. You will be a first point of contact for our clients, supporting our Office Manager with scheduling, client files, phones, and day-to-day office operations. No tax experience required, we provide training on our systems and processes. This flexible, part-time role is ideal for someone re-entering the workforce, balancing other commitments, or looking for steady part-time work with a friendly team. Hours increase during tax season.

Position Type: Part-Time, Hybrid

Core Hours: 10:30 AM to 12:30 PM daily

Flexible Hours: Additional hours before/after core time (remote or in-office)

Expected Hours: Approximately 10-23 hours per week

KEY RESPONSIBILITIES

  • Greet clients and visitors, answer and route phone calls, and manage the general inbox

  • Schedule client appointments and maintain the firm's calendar during peak and off-season

  • Collect, scan, and organize client documents; follow up on missing items

  • Maintain client files, both paper and digital, in line with firm confidentiality and data security practices

  • Prepare and send engagement letters, organizers, and client correspondence

  • Track return status and filing deadlines, and keep client records current in firm systems

  • Communicate with clients in English and Spanish regarding appointments, documents, and office mattersMonitor office supplies, handle incoming and outgoing mail, and keep common areas orderly

  • Prepare outgoing mail and make daily post office drop-offs; distribute incoming mail

  • Provide additional administrative support to the Office Manager and tax staff during tax season

WHO WOULD BE A GREAT ADDITION

  • High school diploma

  • Bilingual fluency in English and Spanish (written and spoken)

  • 1+ years in an administrative, receptionist, or customer-facing role

  • Strong attention to detail and organizational skills

  • Ability to manage a workload independently, prioritize competing tasks, and keep projects moving without daily direction

  • Comfortable following up with managers and staff to keep deadlines, filings, and client requests on track

  • Proficiency with Microsoft Office

  • Excellent communication skills and professional demeanor

  • Discretion with confidential client and financial information

  • Valid driver's license and reliable transportation

  • Availability to work additional hours during tax season

TRAINING AND DEVELOPMENT

  • One week, in-person training

  • Weekly one-on-one meetings (1 hour) for check-ins, training, and progress overview
